EXHIBITION HALL
A1.
CONSTRUCTION OF STALLS
Exhibitors must ensure that all parts of their
work are self-supporting and secure.
Exhibitors who have ordered bare space may begin
building their booths 10 : 00 hours on 10th February,
2004 and all work should be completed by 22 :
00 hours on the 12th February 2004. The hall shall
be open overnight during the construction period.
A2.
POSSESSION OF STALLS
Exhibitors
who have ordered space and stalls may move in
their exhibits from 08 : 00 hours on 12th February,
2004. Exhibitors must arrange for an authorised
representative to be present at the site to receive
their products. The organisers will not accept
delivery of any materials of Exhibitors. All stall
decoration work must be completed not later than
22 : 00 hours on 12th February, 2004. Security
of materials before 13th February 2004 has to
be arranged by the participants. Organiser will
not be responsible or arrange any sort of security
for the material brought by the participants.
A3.
DISMANTALING AND REMOVAL OF EXHIBITS
Exhibits
must be moved between 20 : 00 hours and 22 : 00
hours on Tuesday 17 February 2004. Dismantling
of booths is prohibited before 20 : 00 hours.
No
exhibits or other exhibition items may be delivered
to or removed from exhibition hall during the
exhibition period without the written consent
of the organisers.
Dismantling
of booth structures will be carried out from 22
: 00 hours on Tuesday 17th February, 2004, before
which the hall must be fully vacated.
A4.
STANDARD SHELL SCHEME STALL
Note
:
1. No nailing, stickers or painting allowed
on aluminum frames.
2. No nailing or painting allowed on panels
3. Double-sided tape, stickers, placed
by exhibitors on panels must be removed at the
end of the event.
4. Exhibitors can request for colored panels
at extra cost from the Official Contractor.

STANDARD SHELL SCHEME STALL
The
Official Contractors will provide the following
items for each shell scheme booth (3m x 2m)
Fascia
: Blue background with Exhibitor's name in English
(max. 25
letters) using white cut out lettering.
Wall
Paneling : Three side walls (White plywood panels)
held by Prefabricated
aluminum system. In the case of corner
Booths it will be two side walls and two facial
boards.
Carpet
: Synthetic carpet covering the entire floor area
of the booth.
Furniture
; a) One information counter
b) One Back Table With Freel
c) Two Chairs
d) One waste paper basket
Note
: For back table one table cloth with frill, will
be provided by the contractor,
Lighting
: Three units of Spot light (100/60 W)
Power
: Two 5 Amp Power Socket
II.
ADDITIONAL RENTAL FURNITURE & ELECTRICAL FITTINGS
In
addition to items provided in he basic Standard
Shell Scheme Booth, Exhibitors may require additional
furniture, electrical items which can be supplied
on a rental basis by the Official Contractor for
which the exhibits have to pay additional money
to the contractor. Please complete the attached
Order Form 1 and 2 and return it o to the Official
Contractor.
Note
: The organisers prohibit any change of color
scheme or attachment of logo or other lettering
or alteration to the standard fascia.

Loading / unloading activities shall only be carried
out in the Loading / unloading Area at the Back
Door (Exit side) and the material Handling Area
adjacent.
Rules
and Regulations - EXHIBITION VENUE
Construction
a> All corridors and passages shall
be a minimum width of 3 meters after the booths
have been set.
b> All points of entrance shall have
a minimum of 3 meters clear space on all sides.
c> 3 meters of free space must be left
clear from the air-conditioning vents surrounding
the exhibition floor.
d> All fire precaution facilities, fire
exits and passages must be kept clear of any obstructions.
e> No adhesive paste, adhesive tape,
gum-pails, nails, tacks, or any other items may
be affixed to the walls, pillars, floors, furniture
or any fixture/fitting of the Netaji Indoor Stadium.
f> In order to keep the stadium clean
and tidy, all the floors and pillars must be well
covered with battens during the process of painting
(only water based paint should be used.)
g> Keep the wash rooms clean and dry.
The cleaning of paint containers or any other
dirty items is prohibited.
h> Exhibitors shall not permit a floor
loading in excess of limited loading per square
meter and shall distribute the weight of any heavy
equipment over an area as possible, by use of
battens or rubber wheeled forklift.
i> Use inflammable articles for decoration
is not allowed under any circumstances.
j> The exhibitor shall not alter, dismantle,
or damage the exhibition site or its existing
facilities.
k> The Exhibitor shall not do or permit
to be done or upon the exhibition site or any
part thereof, anything which may be noisy or troublesome
to other users of the stadium.
l> Exhibitors are responsible for all
costs relating to any damage to the structure
or items belonging to the stadium, caused by themselves,
their contractors or their agents.
m> No pressurized containers or air-compressors
shall be used at the stadium for any purpose without
the prior approval of the organizers. Fire hazard
work is prohibited.
Personal
a> To ensure security within the stadium,
all contractors and their staff, exhibitors and
the organizers must wear badges at all time for
identification.
b> All working parties and personnel
should leave the stadium according to the Organizer's
time table.
c> The stadium's security guards will
be at liberty to check the items moved in and
out of the stadium.
d> Smoking is prohibited inside the
stadium.
e> Alcoholic drinks and gambling are
not allowed in the stadium.
Electrical Apparatus
a> The Exhibitor shall not permit any
electrical apparatus or fittings of any kind to
be attached or used in conjunction with existing
electrical fittings in the stadium.
b> All wiring and connections must be
installed by the official Contractor.
c> Multiway and bayonet cap adapters
shall not be used.
d> No more than one flexible chord shall
be connected to one plug.
Cleaning
a> All tools and construction/packing
materials must be moved out of the stadium by
the exhibitors or their contractors before the
exhibition opens.
b> Rubbish should be put into the dustbin
which is kept in the cargo loading area. The cargo
loading area should be free of any goods which
may cause any obstruction.
Construction and Decoration
a> Any damages caused by an Exhibitor
or their contractors to other exhibitor's common
property shall be the responsibility of the exhibitor.
All exhibitors must complete their construction
and decoration by the date and time stipulated
by the organizer.
b> To comply with local regulations,
all exhibitors building their own booth must submit
a design plan to the organizers before 04.01.2002
for prior approval to ensure that the interests
of all exhibitors are observed. Failure to do
this may incur extra costs to exhibitors for special
later scrutiny. Any feature that departs from
these guidelines and rules must be highlighted
on sketch drawings or plans.
Sound Level
Mechanical and Electrical devices which produces
sound must be operated in a manner that is considered
not disturbing to other exhibitors and must comply
with the guidelines prevailing in Kolkata.
Storage
The Organizers will provide No storage facility
on site for packing cases, surplus materials or
other properties of the exhibitors.
Security
The organizer shall take all reasonable security
precautions in the interest of the exhibitors
and visitors. However, the organizer shall not
be held responsible for loss or theft of exhibits
of the Exhibition Hall during the buildup, exhibition
and dismantling period. The organizers shall also
not be held responsible for any loss or damage
to exhibits or any article(s) belonging to the
exhibitors in any circumstances.
Special Services
Application for high voltage electricity, other
utilities and special services (if any), should
be submitted to the Organizers at least 7 days
in advance.
Lighting and Electrical
a> Exhibitors using standard stalls
will be provided with booth services as per schedule.
The Main contractor reserves the right to charge
double the scheduled rates for electrical installation
for booths which are not completed within the
stipulated time limit.
b> The exhibition uses electric lighting.
No other source of light or power may be used
except with the written consent of the organizers.
c> Electricity must be carried out by
the Official contractor (the organizer's appointed
agents) and connections into permanent distribution
boxes shall be made by the official contractor.
d> The supply of electric current will
be:
Lighting :
Single phase : 220 Volt (50 cycles per
second AC supply)
Power : 3 Phases (440 Volts )
e> All exhibitors must submit their
order for lighting and power requirements on Order
Form 2 which must be returned by the stipulated
date. Late orders will not be guaranteed, and
if, accepted, may be subjected to additional charges
as decided by the organizer.
f> In case of using light box displays,
every single fluorescent light will be treated
as one lamp and charged at the price of an additional
order of a fluorescent lamp. Exhibitors who bring
their own lamps will have to apply for permission
to the Official contractor and pay the inspection,
hook up and power consumption charge. (See Form
2 for Lighting connection charges).
Safety and Fire Laws
1. All applicable fire and safety laws
and regulations must be strictly observed by the
Exhibitor.
2. Cloth decorations must be flame proof.
Wiring must comply with Local Fire
Department Rules.
3. Smoking in the Exhibition Hall is forbidden.
4. Aisles and fire exits must not be blocked
by the exhibits.
5. No decorations of paper, pine boughs,
leafy decorations or free branches are allowed.
6. Acetate and rayon drapes are not flame
proof and may be prohibited.
7. No storage being exhibits is provided
or permitted.
8. The Exhibitor is advised to provide
ONE fire extinguisher for each 20 sq mtr of space
occupied.
9. No liquid or vapour with a flash point
lower than 54 degrees centigrade (130 degree fahr)
and explosive, corrosive or other dangerous substance
is to be brought into the Exhibition Hall.
10. Exhibitors shall ensure that their
displays are properly spread and do not exceed
load limitation.
11. Exhibitors are advised to take a fire
insurance policy covering their exhibits in their
own interest.
Safety and Fire Regulations
All materials used in stand and exhibition construction
must be properly flame-and-fire-proof in accordance
with local regulations.
Insurance and Indemnity
The organizers will effect and maintain a basic
insurance on such terms and conditions and with
such exceptions as the organizer shall in its
absolute discretion agree with the underwriters
from time to time. All insurance against any liability
other than that taken out by the Organizer or
against any damage or loss to the property and
effects of the exhibitor, its agents or employees
or against any consequential loss suffered by
any of them shall be responsibility of the exhibitor.
The exhibitor shall indemnify and save the organizer
in respect of any such matter save only injury,
loss or damage caused by negligence of the organizer,
its agents or employees.
Terms of Contract
Exhibitors are advised to refer to the rules and
regulations before signing the contractwith the
organiser.Food & BeverageNo smoking, food
and drinks are permitted within the venues of
the Netaji Indoor Stadium complex except in particular.
Food & Beverage
outlets of the stadium. Also, outside food and
drink are not allowed into the stadium for consumption.
Prohibited Exhibits
Exhibitors are prohibited under the local laws
from displaying firearms, pornographic materials
or similar items in any form. In cases of doubt,
the advice of the organizer should be sought in
advance.
